ERP Ecosystem for Managing an IT Community: the Case of IT Ukraine Association × LBS Cloud

IT Ukraine Association is one of the key industry communities bringing together leading Ukrainian IT companies and international partners. The organisation shapes the agenda of the IT market, launches industry committees, conducts research, and develops systematic cooperation between business and government.


As the number of members, initiatives, and communications grew, the Association faced the need to centralise data and streamline processes for the systematic management of the organisation. Information was coming from multiple channels — online forms, events, and internal initiatives — and did not form a single analytical picture.


A solution was needed that would allow the community to be managed as an ecosystem rather than a collection of disconnected contacts.

Why ERP for an Association Is More Complex Than for a Business


Non-profit organisations have specific business processes that differ significantly from those of traditional commercial companies. An association works not with customers but with an ecosystem of stakeholders: member companies, partners, committees, international organisations, events, and consultations.




At the same time, there are no ready-made ERP solutions fully tailored to the business model of non-profit organisations. Traditional ERP or CRM systems often do not account for membership management, committee structures, complex interaction formats, or events as a key tool for working with the community.

As a result, many associations are forced to operate using a combination of Excel, Google Sheets, and various standalone services. This leads to data loss, fragmented processes, and a lack of management analytics.


For this reason, IT Ukraine Association set a goal to build a unified digital operating system for managing the organisation.

One of the first steps was the integration of online surveys. Now any response submitted through a form automatically enters the system, where a company profile is created or updated, the source of the request is recorded, and the interaction context is captured. This made it possible to build a single database of potential and existing members.

The system also introduced a centralised model for companies and contacts with extended business attributes. It allows the IT market to be segmented by industry, region, contact roles, and participation in Association initiatives, opening up opportunities for personalised communication and deeper analytics.

Process-Based Member Acquisition Management


The CRM module in LBS Cloud was configured as a process-driven tool for managing interactions.


Leads automatically enter the CRM module, where the team can monitor statuses, responsible managers, and communication history. The system ensures:

Automation of Events and Community Engagement

A separate element of the system is the Member Cabinet — a digital interface for interaction between the Association and its participants. Through it, companies can:

    • update their data

    • manage contacts and subscriptions

    • book consultations

    • schedule meetings with experts

    • register for events

    • view their interaction history with the Association

Implementation Results


As a result of implementing LBS Cloud, IT Ukraine Association gained:

The ERP system has become the digital core for community management and the foundation for further scaling of initiatives.
